Job description
- Administration Assistant/ Team Secretary
- Boutique Accounting Firm
- $85,000 Package

This is an opportunity for someone who thrives in a close-knit, collaborative team and is looking for a role that can be tailored to suit their lifestyle, depending on experience and availability.
Key Responsibilities:
- Draft and review client correspondence, reports, and documentation with a high degree of accuracy
- Maintain and update client records, financial position statements, and structure diagrams
- Manage the onboarding and offboarding process for new and existing clients
- Handle ASIC-related tasks, including company incorporations, changes, and document lodgements
- Assist with lodgement of tax returns, BAS, and coordination of ATO correspondence, including payment plans
- Prepare and issue invoices and manage related follow-ups
- Compile and send out electronic document signature packs
- Provide front-line client support—answering phones, responding to emails, and resolving administrative queries
- Support the Directors and Accountants with general administration, scheduling, and ad hoc tasks
- Assist with SMSF and investment portfolio administration, including downloading and forwarding reports
- Coordinate banking activities, including loading payments and preparing transfers for approval
- 5+ years of experience in a similar administrative role within an accounting or professional services firm
- A background or exposure to bookkeeping is highly desirable
- A high level of confidence in managing priorities and taking initiative with minimal supervision
- Experience with relevant platforms is a plus, including FYI Docs, FuseDocs, Xero, Xero Practice Manager, NowInfinity, ATO Portals, and ASIC Connect
- Proficiency in Microsoft Office Suite (especially Word, Excel, and PowerPoint)
- Exceptional attention to detail and strong organisational and time-management skills
