Key Responsibilities:
  • Draft and review client correspondence, reports, and documentation with a high degree of accuracy
  • Maintain and update client records, financial position statements, and structure diagrams
  • Manage the onboarding and offboarding process for new and existing clients
  • Handle ASIC-related tasks, including company incorporations, changes, and document lodgements
  • Assist with lodgement of tax returns, BAS, and coordination of ATO correspondence, including payment plans
  • Prepare and issue invoices and manage related follow-ups
  • Compile and send out electronic document signature packs
  • Provide front-line client support—answering phones, responding to emails, and resolving administrative queries
  • Support the Directors and Accountants with general administration, scheduling, and ad hoc tasks
  • Assist with SMSF and investment portfolio administration, including downloading and forwarding reports
  • Coordinate banking activities, including loading payments and preparing transfers for approval
About You:
  • 5+ years of experience in a similar administrative role within an accounting or professional services firm
  • A background or exposure to bookkeeping is highly desirable
  • A high level of confidence in managing priorities and taking initiative with minimal supervision
  • Experience with relevant platforms is a plus, including FYI Docs, FuseDocs, Xero, Xero Practice Manager, NowInfinity, ATO Portals, and ASIC Connect
  • Proficiency in Microsoft Office Suite (especially Word, Excel, and PowerPoint)
  • Exceptional attention to detail and strong organisational and time-management skills
  • A professional and polished demeanour with excellent communication skills
  • A collaborative and friendly attitude—someone who enjoys being part of a supportive, high-performing team
What’s on Offer:
  • Flexible working arrangements based on your needs
  • A welcoming, stable team with a low staff turnover and strong team culture
  • A beautiful Sydney CBD office location, close to public transport
  • Genuine growth opportunities – this role can evolve with your interests and skills, with pathways available to step into broader responsibilities over time
  • Support available for those interested in pursuing their CA qualification, making it a great opportunity for someone looking to grow professionally within a boutique firm
  • Opportunities to take ownership of your work and contribute meaningfully to a small, high-performing team
