About the company
Our client is looking for a friendly and dynamic Client Services Assistant to complement their friendly team and help them to manage the firm’s corporate secretarial services, administration and help the accountants to continue to deliver a holistic support and advice to their clients. This exciting role would suit someone looking for that next step in your administration career in a highly successful Chartered firm.
Role summary
Assist the entire accounting team to deliver a range of compliance and business advisory services. Role has been created due to growth in the business and will be reporting to practice manager.
About the role:
The role has a heavy focus on administration in that you will be maintaining the client database:
- Answering incoming telephone calls
- Client additions
- Receiving client records
- Checking completeness of client records
- Typing client letters and reports for clients
- Producing reports to help manage workloads
- Maintain accurate and detailed time sheets
This role also has a focus on operations and helping the team:
- Dealing with client, ASIC & ATO correspondence
- Preparing checklist of information required for business clients prior to visitation
- Reviewing and checking client source documents when received against checklist
- Assisting clients with general queries
- Logging of each job on the Job Register and noting status (incomplete or ready to commence)
- Collation of standard work papers for accountants (including marking up last year’s comparatives on the work papers)
- Monitoring of BAS & IASlodgements
- Monitoring workflow for the team and maintaining team calendars
- Advising clients of ABN and GST Registration
- Advising clients of PAYG instalment obligations
- Advising clients of Tax File Number
- Incorporation of companies
- Completion of ASIC annual company returns
- Attending to all ASIC matters including completion of ASIC Forms and minutes
- Monitoring work checklists to meet ATO due dates
- Contact person for ATO for all registrations, cancellations, portal problems, assessment problems etc
Skills & experience
- No formal qualifications are required although prior experience in an accountancy practice is essential
- Candidate must demonstrate strong, practical experience in an office environment, dealing directly with professionals and their clients
- Strong communication skills both written and verbal
- Strong computer skills are a pre-requisite
- Strong organisational skills and the ability to work unassisted and as part of a motivated team
- Ability to work to deadlines
- Customer focused approach
