We at Charterhouse Partnership are partnering with the University of Melbourne to recruit an esteemed Executive Officer to Chief Financial Officer position.

The University are seeking an experienced and enthusiastic Executive Officer to support the Chief Financial Officer (CFO) in the execution of operational activities, key financial strategies, and governance functions across the University.
About the Role
As the Executive Officer to the CFO, you will be a critical member of a dynamic team. In this position, you will work closely with the CFO and their leadership team to ensure smooth workflows, effective administration, and timely coordination of key activities within the CFO department. You will play an essential role in overseeing the day-to-day operations of the office, including calendar management, meeting organisation, travel coordination, financial administration, and project oversight.

Key Responsibilities
- Manage administrative functions to ensure the smooth running of the CFO office, including email management, calendar scheduling, and preparing materials for meetings and presentations.
- Organise and schedule meetings, appointments, and travel arrangements for the CFO and Executive Director, Financial Resources.
- Draft correspondence, reports, and briefing notes for the CFO, ensuring clarityand alignment with strategic objectives.
- Set meetings, support committees or working groups by preparing agendas, drafting meeting minutes, and managing action tracking.
- Build and maintain effective relationships with internal and external stakeholders, ensuring timely follow-up and accountability for action items.
- Lead governance and key project activities within the portfolio, ensuring effective coordination and delivery of outcomes.
- Proactively identify and implement administrative improvements to enhance efficiency and effectiveness across the CFO office.
- Reconcile credit card statements, manage invoices, track expenses, and ensure compliance with University policies.
Selection Criteria
- Demonstrated experience providing C-suite executive support, including diary management, correspondence preparation, and information handling.
- Exceptional organisational skills with the ability to prioritize tasks and meet deadlines in a fast-paced, high-pressure environment.
- Strong interpersonal skills with a focus on building trust, operating with discretion, and maintaining positive relationships across all levels of the organisation.
- Excellent written and verbal communication skills and experience drafting high-quality documentation.
- Solution-focused with a proactive, can-do attitude and the ability to exercise initiative, judgment, and professional autonomy.
- Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and proven experience adapting to new software.

- Compliances required: The successful candidate mustbe willing to obtaina Working with Children Check and a Police Check.
- Occasional Out-of-Hours Work: This role may require flexibility, including occasional work outside of normal business hours and travel.
