The University of Melbourne and Charterhouse Partnership are collaborating to recruit an Executive Officer to the Executive Director, Corporate Development to join this dynamic team.
About the University

The University are seeking an experienced, proactive Executive Officer to support the Executive Director, Corporate Development and at times the broader leadership team to drive their strategy and operations.
About the Role
The Executive Officer will provide comprehensive administrative and executive support, ensuring that the Executive Director's time is effectively prioritised. This includes managing calendars, meetings, travel, and financial processes, along with leading key projects and governance activities. The position will be a key liaison for internal and external stakeholders, manage executive-level communications, and ensure smooth and effective operation of the office. The role requires a solutions-focused individual with strong interpersonal skills and a professional attitude.
Key Responsibilities:
- Providing high-level administrative support to the Executive Director, ensuring a smooth workflow.
- Managing the Executive Director's calendar, prioritizing tasks and resolving conflicts.
- Preparing briefing papers, reports, and presentations for the Executive Director.
- Set meetings, support committees or working groups by preparing agendas, drafting meeting minutes, and managing action tracking.
- Building and maintaining relationships with key stakeholders across the University and externally.
- Leading governance and project activities within the Corporate Development Portfolio.
- Handling financial management duties such as reconciling credit card statements, managing invoices, and tracking travel expenses.
- Continuously improving administrative processes for greater operational efficiency.
Selection Criteria:
- Proven experience working at C-suite senior executive support level, including diary management and correspondence preparation.
- Excellent organisational skills with the ability to handle competing demands and meet deadlines.
- Strong communication skills, both written and verbal, with a focus on professionalism and clarity.
- Proven experience working with new processes and adapting to innovative ways of working.
- Ability to exercise judgement and discretion, acting proactively when required and handling sensitive information with care.
- Proficiency in Microsoft Office suite (Word, Outlook, Excel, PowerPoint) and proven experience learning new software.
- Ability to work autonomously, proactively solving problems and anticipating needs.
Additional Information:
- A current Working with Children Check and Police Check will need to be obtained before commencing this position.
- Occasional work outside of regular hours, as well as some travel may be required.
