About the Organisation:

Our client, in the educational sector in Sydney is seeking an experienced Executive Assistant for a 5-week contract. They are a leading University in Australia with campuses across Sydney. This role will require to be onsite full time.

As the Executive Assistant you will be supporting the Chief Marketing and Communications Officer and the Director of Media and Public Relations.

The role will consist of but not limited to managing schedules, coordinating meetings, handling confidential information, and performing various tasks to enhance executive effectiveness.

The successful candidate will have C Suite experience within a fast-paced and dynamic environment. Additionally, you will be responsible for managing a team of administration staff.

Duties within the role will include but not limited to:

  • Act as the primary point of contact between the executive and internal/external stakeholders.
  • Screen and handle phone calls, emails, and other forms of communication, ensuring important matters are addressed promptly.
  • Efficiently manage and coordinate the executive's schedule, including scheduling meetings, appointments, and travel arrangements.
  • Arrange and organize meetings, conferences, and events, including preparing agendas, materials, and catering as necessary.
  • Take meeting minutes and follow up on action items.
  • Maintain and organise important documents, reports and files.
  • Monitor and reconcile expense reports, ensuring compliance with company policies.
  • Assist in various projects, research and data analysis as requested by the executive.

Skills & Experience

  • Minimum 3 years previously as a C Suite EA working within a University or Government setting.
  • Demonstrated ability to engage confidently with a variety of stakeholders
  • High level of relationship building and influencing skills
  • Highly competent in Microsoft Office with strong computer literacy skills
  • Well-developed conflict resolution skills
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism
