Position Purpose
- For the provision of plant administration and other clerical functions, including but not limited to, the provision of quality plant and vehicle administrative functions
- Act in accordance with the NSW Work Health Safety Act 2011, Work Health Safety Regulation 2017 and the Work Health and Safety (WHS) System.
Essential
- Relevant administration experience in a similar role.
- Skills in various databases and Microsoft software.
- Basic understanding and knowledge of trades services administration.
- Well-developed communication skills
- Previous experience in a works depot/mechanical workshop type environment
- Knowledge of applicable legislation/regulations
- Demonstrated commitment to customer service
- Ability to work within a team environment
- Availability to work flexible working hours
- Class C driver’s licence
- Provision of a high level of customer service, including reception and clerical support for the section
- Raising and finalising work order requests
- Accurate maintenance of computerised databases/applications and timely report generation
- Production of quality word processing including reports, correspondence, specifications etc., for the section
- Maintenance of various record systems and files
- Purchase and receiving of plant and mobile assets
- Prompt attention and response to counter, telephones and radio base
- Prompt processing of time sheets, leave forms, reports etc.
- Provide quality reception service to the section.
- Provide quality clerical and office support to the section.
- Promptly respond to telephone calls.
- Operate and enter data into Tech1 applications.
- Provide information and prepare management reports from computer applications, as required.
- Process customer requests in accordance with Service Level Agreements.
- Job order data entry and reporting.
- Maintain registers, records, files and documents.
- Collect and redirect forms such as time sheets, files, leave forms, notices etc., as required within appropriate timeframes.
- Process injury reports, workers compensation claims and assist with induction of new employees.
- Provide data entry and word processing services for the section.
- Maintain stationary supplies and record allocations.
- Assist staff in the section, as required.
- Process invoices and expedite payments for suppliers and contractors.
- The management of volunteers if required by the role.
