We are currently seeking an experienced and highly motivated Personal Assistant to support the CEO in both professional and personal capacities. This is a unique role, providing the opportunity to work closely with an executive in a fast-paced environment.

bout the role:
  • Provide high-level administrative support to the CEO, including managing calendars, scheduling appointments, handling emails, and organising meetings.
  • Creating board packs for director meetings, including agendas, presentation materials, and relevant documentation, to facilitate smooth and efficient meeting discussions
  • Assist the CEO with personal errands, including coordinating family schedules, managing household tasks, booking personal appointments, and handling various day-to-day personal responsibilities.
  • Organise both professional and personal travel, including flights, accommodations, transport arrangements, and itineraries.
  • Manage vendor relationships, handling leases, and overseeing property-related matters, ensuring smooth operations and effective coordination across various departments.
  • Act as the main point of contact for both internal and external stakeholders, ensuring timely responses to inquiries and ensuring the CEO’s communication is well-managed.
  • Manage and update comprehensive property records for all locations across Australia, including leases, maintenance requests, and property-related communications.
  • Prepare and distribute detailed property management reports, budgets, and financial statements.
About you:
  • Preferably 3 years’ experience working as a Personal Assistant or Executive Assistant.
  • Previous experience within the property industry would be beneficial.
  • Experience creating detailed board packs is essential.
  • Clean and valid Australian drivers license.
  • Need to be available between the times of 9am and 6:30pm, time may vary according to working day.
  • Experience handling both professional and personal tasks, including event coordination, household management, and personal errands.
  • Exceptional organisational and time-management skills, with the ability to handle multiple tasks simultaneously and prioritise effectively.
  • Strong communication skills, both written and verbal, with the ability to deal with stakeholders at all levels.
  • Proactive, assertive, and resourceful, with the ability to take the initiative and manage tasks independently.
  • Highly adaptable and flexible, able to respond to changing demands and priorities with ease.
