3-month Executive Assistant (EA) opportunity to work for a large Council in the Eastern suburbs

  • Previous experience in an executive assistant role, preferably in local government or a senior management environment.
  • Represent a Local Government authority providing excellent service to members of the community 
  • Own transport required | a valid Victorian driver’s license required
 

About the Role:
This Council is seeking an experienced and proactive Executive Assistant to provide high-level administrative and personal support to the Director of Community Services. The role requires a highly organized individual with excellent communication skills and the ability to manage a diverse range of tasks in a fast-paced environment. This position plays a key role in supporting the Director and the management team, ensuring seamless service delivery and efficient operations across Community Services.

Key Responsibilities:

  • Provide high-level confidential executive assistant services to the Director of Community Services.
  • Manage the Director's appointments, schedule meetings, respond to invitations, and ensure all relevant documents and reports are prepared in advance.
  • Coordinate travel arrangements for conferences, meetings, and seminars.
  • Prepare background information, briefing notes, and coordinate speeches as required.
  • Organize forums, workshops, and events, including preparation of running sheets and coordination of speakers/guests.
  • Draft routine correspondence, assist with reporting processes, and ensure deadlines are met.
  • Liaise with Councillors, community members, government officials, and stakeholders on behalf of the Director.
  • Facilitate payment of accounts, requisitions, and maintain necessary financial documentation.
  • Develop systems and processes to enhance office efficiency and support team integration.
  • Maintain relationships with both internal and external stakeholders to ensure smooth operations.
  • Assist with creating presentations and reports for the Director.
Qualifications & Experience:

  • A Diploma in Business Administration or similar qualification (or equivalent experience).
  • Previous experience in an executive assistant role, preferably in local government or a senior management environment.
  • Strong organizational and time management skills with the ability to prioritise tasks effectively.
  • High-level computer literacy, including proficiency with Microsoft Office Suite, PowerPoint, and relevant databases.
  • Strong written and verbal communication skills with experience preparing reports, correspondence, and presentations.
  • A valid Victorian driver’s license.
Desirable:

  • Experience working in Local Government.
  • Knowledge of local government functions and the role of Councillors.
